Local Chapter Officers
Considerations for Selecting Officers
1. Vision:

The ability to manage individual or company interests for the good of the entire support profession.

The ability to understand long-term effect on decisions made.

The ability to set goals and objectives.
2. Open minded: Are they free thinkers or heavily influenced by strong or vocal factions? An open mind toward challenges and their solutions goes a long way for officer positions.
3. Sound judgment: Can the candidates weigh pros and cons of a discussion topic or disagreement carefully before reaching a decision?
4. Knowledge: A thorough understanding of the Help Desk/Support Center industry as a line manager or active practitioner is a key consideration.
5. Enthusiasm: Is there a genuine interest and enthusiasm for the goals of the Local Chapter? Can the potential officer communicate that interest and enthusiasm to the members of the Local Chapter?
6. Creative thinking: An individual who is stuck with “doing it the way we’ve always done it” won’t be very helpful in moving the Local Chapter forward. The president and all other officers must be open to new ideas and suggestions.
7. Good interpersonal skills: The key to leadership is the ability to get along with others, be part of a team effort, give credit where credit is due, and to use strong leadership and diplomacy alternately, as needed.
All HDI Local Chapter officers should work in tandem to:

Actively represent the interests of Chapter members and the Help Desk/Support Center profession at large.

Communicate to corporate peers a dedication to professionalism that is required to help or work within a well-run Help Desk/Support Center.

Establish meetings and activities to promote information exchange among members on a monthly basis.

Design and implement strategies for encouraging active participation among the Local Chapter members.

Provide effective Chapter management to ensure that meetings are held monthly, newsletters are published monthly, and an exciting and informative forum is being provided to the Local Chapter member constituency.

Maintain relations and work closely with the Help Desk Institute National office.
Chapter Officer positions and related responsibilities:
President:
Leads all Chapter meetings and social activities. Ensures that officer positions are filled, and oversees annual officer nomination and election processes. Represents the Chapter on all official HDI matters. Oversees all Chapter activities with and through other officers. Takes steps to ensure that all officers and members abide by the HDI Local Chapter Operating Principles and Policies Agreement. The Chapter President (and all other officers) should be encouraged to grow professionally, and to participate in Chapter planning meetings held semi-annually at the Local Chapter Summit and at the HDI Annual conference.
Vice President, Programs:
Identifies topics, speakers, and meeting agendas with the assistance of a programs committee, other board members, and Chapter members. Leads Chapter meetings and social activities in the President’s absence. Serves as the primary contact person for fielding educational program ideas and requests and communicating these ideas to HDI National, as well as presenting them on the web site.
Vice President, Membership:
Designs and implements strategies for building Local Chapter membership. Supports the Vice President of Programs officer in leading Chapter meetings and other activities in the President’s absence. Coordinates membership drives and related activities with the Vice President of Programs. Establishes committees or programs to build membership. The Vice President of Membership’s name, company, email address and phone number is included on all HDI Global office marketing media, unless otherwise specified by the chapter.
Vice President, Finance:
Responsible for Local Chapter expenditures and receipts and maintenance of financial transactions related to the Local Chapter. Prepares and submits financial statements, signed by the Vice President of Finance and one other officer, to HDI Global on an annual basis, January 30. Ensures that all financial commitments are for Local Chapter purposes only and that HDI Global is not liable for Local Chapter expenses, liabilities or financial obligations, or taxes associated with Local Chapter activities.
Vice President, Communications:
Maintains Chapter mailing list and official records of Chapter activities. Records minutes of Chapter meetings and issues the meeting agenda items. Acts as primary liaison between the Local Chapter and HDI Global. Provides HDI Global with at least one copy of all announcements, newsletters, and other materials that are produced and distributed by the Chapter or on behalf of the Chapter.
Newsletter Editor:
Responsible for editorial content, productions, and distribution of Chapter newsletters on a monthly basis. Includes program, meeting, and membership announcements from the President and Vice Presidents and HDI Global
Webmaster:
Responsible for the look, feel, ease of use and updates to the Local Chapter website. To include getting updates on local meetings, HDI Global information, links to industry websites, links to HDI Global website, membership information, and what ever the chapter officers and members feel needs to be included in their website.
Chapter Officer Meetings
Local Chapter officers should meet as often as necessary to plan and coordinate Chapter activities. These meetings will be more frequent in the beginning and at the start of each new year. We recommend that near the end of each year, old and new officers hold a joint review/planning meeting. Such a forum is helpful for reviewing past accomplishments and planning for the new year. The Local Chapter officers, referred to as the Executive Board or Executive Committee, should meet at least quarterly. During the first year we would encourage monthly meetings of the Local Chapter officers.
The Executive Board can use status reports to keep the board informed on membership growth, budget developments, vendor events/exhibition progress, committee activity, as well as personal items relating to the Local Chapter membership. The overall objective of the status report is to make your officer board as well informed about the total membership activities as possible. It should be brief, but informative.
The frequency and length of your status report depends upon the nature of your Local Chapter and your activities. The content is much more important. This could easily be a brief review of the minutes from the Chapter’s last Executive Board meeting. A status report should accompany the release of minutes of the last meeting. It could be the agenda for upcoming meetings, and can also be used to inform the officers of special details such as meeting room, times, and committee meetings connected with the next board meetings.
